Resource Development Coordinator

Wellspring Alberta is a charitable organization that supports, informs, and empowers those diagnosed with cancer by helping them address the fear, isolation, disruption, and practical problems cancer can bring to their lives. An affiliate of the Wellspring Cancer Support Foundation, Wellspring Alberta provides a comprehensive range of programs, support, and resources so anyone living with cancer, and the people who care for them, can improve the quality of their lives. All programs and services are informed by evidence and offered free of charge and without referral in three centres and online. Our vision is that no one has to face cancer alone.  

Wellspring Alberta’s work is made possible through the generous donations of individuals, corporations, foundations, and grassroots fundraisers, and through the efforts of committed volunteers, dedicated staff, and skilled contracted program leaders.  

THE OPPORTUNITY

Wellspring Alberta is seeking a part-time (3 days a week) Resource Development Coordinator who will provide essential administrative, data, and operational support to the Resource Development team. Reporting to the Chief Development Officer, this role ensures the timely and accurate processing of donations, supports the execution of fundraising events, and contributes to donor stewardship and reporting. 

The Resource Development Coordinator plays an integral role in maintaining data integrity, generating reports, and supporting donor and event activities, helping ensure a seamless and professional donor experience and advancing Wellspring Alberta’s culture of philanthropy.

This is a part-time position with a preferred location in Calgary. Occasional travel within Alberta and occasional evening or weekend work may be required. 

RESPONSIBILITIES

Donation and Data Management 

  • Process donations and other revenue efficiently and accurately, ensuring donor privacy and adherence to CRA and Wellspring Alberta standards.  
  • Maintain data integrity through timely updates, regular audits, and consistent data entry practices. Salesforce experience would be an asset. 
  • Generate monthly, quarterly, and annual reports, including reconciliation and analysis of fundraising data.  
  • Develop and maintain documentation for data standards and administrative processes.  

Reporting and Stewardship Support 

  • Support donor stewardship by preparing thank-you letters, donor reports, and gift agreements.  
  • Assist with data queries and analysis to inform strategic fundraising decisions.  
  • Provide administrative support for donor recognition and relationship management activities.  

Event and Fundraising Support 

  • Coordinate donation processing and cash handling for all major fundraising events, ensuring compliance with Wellspring Alberta policies.  
  • Support the creation and maintenance of online fundraising tools, including peer-to-peer registration sites and donation pages.  
  • Provide technical and administrative support for third-party and community fundraising events.  
  • Manage all aspects of the Casino event, including AGLC compliance and volunteer coordination. 

Team and Administrative Support 

  • Provide general administrative and logistical support to the Resource Development team.  
  • Prepare Call Briefings for donor meetings. 
  • Collaborate closely with team members to ensure shared priorities and timelines are met.  
  • Support department-wide initiatives and contribute to the ongoing improvement of systems and workflows.  

QUALIFICATIONS 

  • Post-secondary education in business administration, communications, nonprofit management, or a related field preferred.  
  • Equivalent combination of education and relevant experience will be considered.  
  • Minimum 2 years of related experience in donation management, fundraising administration, or data systems support.  
  • Demonstrated understanding of the fundraising cycle and donor stewardship principles.  
  • Proven experience working with CRM databases (Salesforce preferred) and Microsoft Office applications with a high degree of accuracy.  
  • Experience with event management or online fundraising platforms is an asset.  
  • Familiarity with AGLC processes and compliance requirements is considered an advantage.

  • Resourceful and adaptable, with a proactive approach to problem-solving.  
  • Proficient in CRM systems (Salesforce preferred) and Microsoft Office applications.
